Introduction

Booking Terms and Conditions

• All bookings must be made in writing or through our official booking platforms, including our WhatsApp number, the booking form on our website, or direct email to our official email address.
• All contact details (emails and phone numbers) listed on our website are official booking channels for Etro Tours & Safaris.
• A deposit of 20% of the total cost is required to confirm a booking. The remaining 80% balance must be paid 15–30 days prior to the departure date.
• Cash payment of the balance is accepted if requested in advance. In such cases, full payment must be made in US Dollars only, using notes issued no earlier than 2009, as older notes are not accepted in Tanzania or by Etro Tours & Safaris.
• Bookings made less than 15 days before departure require full payment at the time of booking.
• The Client must provide accurate personal details, including passport information where applicable.
• Prices quoted are per person and based on double occupancy unless otherwise specified.

Booking Confirmation

• A booking is considered confirmed only when the deposit is received and a confirmation email or invoice is issued by Etro Tours & Safaris.
• The Client is responsible for reviewing the confirmation details and notifying the Company of any errors within 7 days.
• Failure to complete full payment within the stipulated timeframe may result in cancellation of the booking without refund of the deposit.

Cancellation Policy

• Cancellations must be submitted in writing via email to Etro Tours & Safaris.
• Cancellation fees apply as follows:
  • 100% of the deposited amount if canceled 65+ days before the departure date.
  • 50% of the total cost if canceled 50–65 days before the departure date.
  • No refund for cancellations made 0–50 days before departure.
• The Company reserves the right to cancel a tour, safari, trek, or holiday due to unforeseen circumstances (e.g., safety concerns, insufficient bookings). In such cases, the Client will receive a full refund or an alternative booking option.

Refund Policy

• Refunds will be processed within 7 business days of receiving a valid cancellation request.
• Refunds exclude non-refundable deposits, bank transfer fees, or administrative costs incurred by the Company.
• No refunds will be issued for no-shows, unused services, late arrivals, or early departures.

Changes and Amendments

• The Client may request amendments to their booking, subject to availability and potential additional charges.
• Etro Tours & Safaris reserves the right to make minor itinerary changes due to weather, safety, or operational needs without prior notice, ensuring the Client’s experience remains exceptional.

Travel Insurance

• The Client is required to obtain comprehensive travel insurance covering medical expenses, trip cancellations, lost luggage, and personal liability.
• Etro Tours & Safaris is not liable for any losses resulting from the Client’s failure to secure appropriate travel insurance.

Liability and Responsibilities

• The Company shall not be liable for injury, illness, loss, or damage to property during a tour, safari, trek, or holiday unless directly caused by our negligence.
• The Client agrees to comply with Tanzanian laws, national park regulations, and instructions from our guides at all times.
• Etro Tours & Safaris is not responsible for delays or changes due to circumstances beyond our control, including weather, government restrictions, natural disasters, or flight disruptions.

Governing Law

• These Terms and Conditions are governed by and interpreted in accordance with the laws of Tanzania.
• Any disputes will be resolved through arbitration in Tanzania.
